Noorka Logistics, located in Dubai, is seeking a dynamic and organized Receptionist to join their team. The Receptionist will be responsible for welcoming visitors, assisting them with appointments, ensuring their comfort, and directing them to the appropriate staff or department.

Key Responsibilities:

– Greet and welcome visitors to the office, assist them with appointment scheduling, ensure their comfort, and direct them to the appropriate staff or department.
– Handle inquiries from the public and staff, and relay messages to the correct personnel.
– Answer phone calls, screen and forward them, or accurately record and relay messages.
– Manage incoming and outgoing mail and couriers, ensuring proper distribution; file correspondence and other materials as needed.
– Verify courier invoices and forward them to the Finance Department for processing.
– Maintain a physical log of visitors for tracking and record-keeping purposes.
– Monitor, maintain, and order office supplies, equipment, and pantry items; handle purchase orders (POs) and billing via SAP. Manage petty cash for supplier payments.
– Oversee the stock levels and records for both the B1 office and warehouses.
– Administer business travel logistics, updating staff trip records, and ensuring employees follow the correct procedures for business travel applications via the travel portal. Maintain the staff presence overview through ‘Staff Notifications’.
– Organize meetings, prepare conference rooms, and arrange hospitality as needed.
– Coordinate monthly staff birthday celebrations.
– Provide general administrative and clerical support as directed by the Office Manager.
– Distribute invoices downloaded from the LES intranet system.
– Prepare monthly phone bills for employees (Etisalat and DU).
– Maintain and update employee contact information on the company intranet page.
– Support the Admin Department with:
– *Customer Visits*: Coordinate transportation and provide general visitor assistance.
– *Visa Assistance*: Manage business-related travel visa applications, including NOCs and multiple-entry visa requests.
– *Travel Support*: Track business trips to high-risk countries, provide guidelines, check FCDO advisories, and coordinate with insurance companies for coverage and documentation.
– *Residency Monitoring*: Track travel dates for employees stationed outside the UAE to prevent residence visa cancellations due to extended stays abroad.

Job Requirements:

– Bachelor’s degree from a recognized university.
– 1-3 years of relevant experience.
– Proficiency in current Windows operating systems and software applications such as Word and Excel.
– Strong verbal and written communication skills.
– Knowledge of administrative and clerical procedures.
– Customer service-oriented attitude.
– Fluency in French and English is required; knowledge of Arabic is an advantage.
